Complete your brief

Share the project goal, exact copy, audience, colors, product, quantity, inspiration, existing assets, deadline and any non-negotiable details. The more complete the brief, the more efficiently the first direction can be developed.

Review the direction

We develop or refine the agreed concept and send a proof or design presentation when the project calls for one. Give clear, consolidated feedback so revisions stay connected to the approved project scope.

Approve the final

Review spelling, dates, names, numbers, colors, placement and layout before approval. Once approved, the design can move into the agreed file-delivery or production stage.

Before you start.

What should I have ready before I submit a request?

Bring the exact wording you know, the intended product or use, audience, preferred colors, deadline, quantity if known, and any logos or inspiration that help explain the direction. If you are unsure about a detail, say so in the brief rather than guessing.

What counts as a revision?

A revision is an adjustment to an existing concept—such as a color, wording, placement or limited visual change. A completely different concept, new deliverable or major change in direction can become additional scope.

Do I automatically receive editable source files?

No. Deliverables depend on the service you purchase. Print-ready files, editable source files, layered working files and reusable production assets are separate deliverable types and are included only when stated in the quote or product description.

Can I send logos, characters, school marks or other artwork I found online?

Only when you have the rights or permission needed for the requested use. 25/8 may request authorization or decline a project when a supplied asset presents an intellectual-property or other legal concern.

What if I need the design by a specific event date?

Put the event date and the true must-have deadline in the brief. A requested date is not guaranteed until 25/8 confirms that timeline in writing, because design approval, product availability and production time all affect completion.

DESIGN SERVICE TERMS & PROJECT DETAILS

25/8 Print & Apparel Studio offers creative services for customers who need help developing, refining or preparing artwork for apparel, DTF transfers, spirit wear, event merchandise, promotional products and related print applications. Our design service is a collaborative professional service. The exact deliverables, price, number of included revisions, production method and timeline are defined by the project brief, quote, invoice, product listing or written project confirmation that applies to your order.

1. Project brief and required information

A successful project begins with a complete brief. You are responsible for providing accurate names, dates, wording, sizes, quantities, colors, placement requests, brand references, event deadlines, product information and any other specifications that materially affect the design. We may request logos, photos, existing artwork, brand standards, inspiration links or examples. A request is not considered production-ready merely because a form was submitted. Work may be placed on hold until the information, assets, approvals and payment required for that stage have been received.

2. Quotes, deposits, payment and scope

Submitting a request does not obligate 25/8 to accept a project and does not by itself create a purchase contract. When applicable, we will confirm scope and pricing through a quote, invoice, checkout page or other written confirmation. Design fees may be separate from apparel, printing, setup, rush, specialty material, licensing, shipping or production charges. Work requested outside the agreed scope—including additional concepts, major changes in direction, extensive rebuilding of customer files or extra revision rounds—may require a revised quote or additional fee before work continues.

3. Concepts, revisions and changes in direction

A revision is an adjustment to an existing concept, such as changing wording, color, placement, scale or a limited visual element. A substantially different concept, new creative direction, new product application, new set of assets or request to restart after approval may be treated as additional work rather than a revision. Unless a listing or written quote says otherwise, no specific number of concepts or revisions is promised. We will identify material scope changes before charging additional design fees whenever reasonably possible.

4. Turnaround times, deadlines and customer response

Any stated design or production time is an estimate unless 25/8 expressly agrees in writing to a guaranteed deadline. Timelines depend on project complexity, workload, customer response time, receipt of usable artwork, approval speed, product availability and production requirements. Delays in providing feedback, correcting information, supplying artwork, paying an invoice or approving a proof may move the completion date. Event dates and hard deadlines must be disclosed in the request form before work begins. Rush service, when available, may carry an additional fee and does not override circumstances outside our reasonable control.

5. Proofs and final approval

When a proof is provided, you must review the entire proof before approval. This includes spelling, names, numbers, dates, punctuation, logos, colors, layout, garment color, placement, quantities and other visible information. Approval authorizes 25/8 to proceed based on the approved version. Corrections requested after approval may require a new fee and may not be possible once production has started. 25/8 is responsible for correcting production errors that do not match the approved proof, subject to the Satisfaction Guarantee and Returns & Refunds policy, but is not responsible for errors that were present in a customer-approved proof unless required by law.

6. Color, size, placement and production variation

Digital previews are visual guides and are not exact physical samples. Screen settings, garment color, fabric texture, transfer chemistry, ink, printer calibration, heat, pressure and substrate can affect final appearance. Reasonable differences in color, scale, placement or garment dimensions may occur between a mockup and a finished item or between production batches. We work to maintain professional consistency, but exact color matching requires a separately agreed color-control process and may not be available for every product or printing method.

7. Customer-supplied artwork and intellectual property

You retain ownership of content you lawfully own and supply to us. By uploading or sending logos, photographs, illustrations, characters, school marks, team marks, company marks, names, fonts or other material, you represent that you own the necessary rights or have permission sufficient for the requested use. You grant 25/8 a limited license to store, reproduce, edit, convert and use those materials only as reasonably necessary to evaluate, design, proof, produce and fulfill your request. We may ask for authorization, licensing documentation or a replacement asset and may decline work that appears to infringe intellectual-property or other rights.

8. Third-party assets, fonts and licenses

Some projects may use properly licensed stock elements, fonts, templates or other third-party resources. Those resources remain subject to their own license terms and are not transferred to you beyond the rights included in the final deliverable. Unless specifically stated in writing, a design fee does not include trademark clearance, copyright registration, legal clearance, exclusive rights in commonly available assets, or a license to redistribute third-party source files.

9. Ownership of 25/8-created design work

Ownership and usage rights depend on the project. Purchasing a printed item does not automatically transfer copyright, source files, editable working files, production templates, methods or reusable design assets. Unless a written agreement expressly transfers broader rights, 25/8 retains rights in its original creative work and grants the customer the use reasonably necessary for the purchased finished product or specifically described deliverable. Any separately purchased commercial or exclusive license will control where it conflicts with this general rule.

10. Source files and print-ready files

Final deliverables may differ by service. A print-ready PNG, PDF, SVG or other production file may be included only when specified. Editable source files, layered files, working drafts, unused concepts, font files, production settings and proprietary templates are not included unless expressly listed. Files supplied for a specific print method may require adjustment before use with a different printer, substrate, production size or manufacturing process.

11. Content standards

25/8 may refuse or stop a project that is unlawful, fraudulent, deceptive, threatening, hateful, exploitative, defamatory, infringing, or otherwise presents unreasonable legal or safety risk. Refusal of a project does not mean that 25/8 has performed a legal review of other projects. Customers remain responsible for the lawfulness and accuracy of content they request us to reproduce.

12. Cancellation of creative work

Because design services involve labor performed before a physical product is produced, design fees may become nonrefundable once work has begun. If a project is canceled, any refund or credit will depend on the work already completed, nonrecoverable expenses, licenses obtained and the terms of the applicable quote or invoice. If 25/8 cancels a project for reasons not caused by the customer, we will address any unearned prepaid amount in a commercially reasonable manner consistent with applicable law.

13. Relationship to production orders

Approval of design artwork does not guarantee that every requested garment, blank, size, color or production method remains in stock. If availability changes, we may propose a reasonable substitute and will request approval when the change is material. Printing, DTF transfer production and finished-apparel orders are also subject to the applicable product description, Terms & Conditions, Shipping & Delivery, Returns & Refunds and Satisfaction Guarantee.
